Now Entertain Me Ltd provides DJ entertainment, sound, lighting, audiovisual and event production services for weddings, parties, corporate events and other occasions. We operate www.nowentertainme.co.uk and use Planning Beats to coordinate bookings and events.

2. What information we collect
Depending on the service or interaction, we may collect names, contact details, event dates and venues, booking and invoice details, contracts, payment status, communications, music choices, guest requests, instructions and event schedules; photographs, videos and files uploaded by customers or staff; venue and supplier contact details; staff assignment and work details; and website technical information such as IP addresses and security logs.
People planning events may choose to submit information about other participants, including names, speeches or special arrangements. They should only submit what is necessary and have an appropriate reason to share it. Please avoid uploading sensitive health or other special-category information unless necessary and discussed with us.
3. Why we use information and our legal bases
We use information to respond to enquiries and provide quotations (steps before a contract, or legitimate interests in responding to business enquiries); arrange and deliver booked services, coordinate DJs and venues and administer Planning Beats (contract and, where relevant, legitimate interests); maintain accounting and tax records (legal obligation); prevent misuse, secure our systems, handle complaints and manage suppliers (legitimate interests); and send promotional communications or publish identifiable event material where we have an appropriate lawful basis, including consent where required.
Our legitimate interests include running a reliable entertainment business, organising booked events, responding to customers, protecting our systems and explaining our services. We balance these interests against individuals’ rights and expectations. Where consent is relied on, it may be withdrawn at any time without affecting previous lawful processing.
We do not sell personal information.
4. Planning Beats — customer, DJ and venue portal
Planning Beats is our main event management portal. Customers use it to complete event details, choose music, upload photographs and supply other information needed for their particular event. Our assigned DJs and event personnel use that information to prepare and deliver their services. Relevant venue contacts can view arrangements for events at their venue.
Depending on the event, Planning Beats may contain customer details, event venue and timing, contracts and booking status, requests, playlists, introductions and announcements, schedules, uploaded images and documents, supplier arrangements and messages or notes.
Access is intended to be role-based and event-related: customers access their own events; assigned DJs and authorised staff access the details needed for their work; venue representatives receive information relevant to their venue. Different organisations may have their own data protection responsibilities when using details for their own purposes. We should not provide unrelated customers or staff with unrestricted access to another event.
Information you upload for your event is used to help plan or deliver that event. Uploading an image to Planning Beats does not automatically grant permission for it to be used in our public advertising or social media. Please tell us if information in the portal needs correcting. Access and data are reviewed according to operational need and retention requirements.
5. Staff Upload Portal and approved media
Our staff media upload page allows DJs and event personnel to submit event photographs and videos with a name, venue or event description, event date and notes. It asks submitters to confirm that they have checked relevant publicity permissions. The page is accessible through a shared link, so possession of the link does not by itself prove that a submitter is authorised. We review submissions before approving them for internal media use and reject or delete unsuitable uploads.
Submitted media is held in the WordPress-based administration system. Approved media may be manually synchronised by an administrator to a private Google Drive folder. Approval for storage or editorial consideration is not automatic permission to publish. We assess rights and privacy before posting photographs or videos publicly. We do not intentionally publish rejected or unapproved uploads.
6. Event photographs, videos and publicity
Images and footage may contain identifiable customers, staff, performers and guests. We may use selected images for event planning, internal review and, with a valid lawful basis and any required permissions, marketing on our website and social media. We take particular care with children and with material from private functions. Permission from an event organiser alone may not cover every identifiable guest.
If you are concerned about an image or video we control, contact our privacy contact with identifying details so we can review the request. We will take proportionate steps, including removal where appropriate. Material reposted independently by others may not be fully within our control.
7. Google Drive connection and Google user data
Our WordPress Staff Upload Portal uses Google’s OAuth authorisation to connect an authorised business Google account to Google Drive. The integration is used to create or identify a destination folder, transfer administrator-approved event media to that folder and record file or folder identifiers and synchronisation status needed to manage those transfers.
The app accesses Google account authorisation data (such as OAuth tokens) and Drive information necessary for these functions. The permission shown during Google’s consent process defines the technical access available to the app; we use that access only for the disclosed media management functions. Credentials are stored within the WordPress configuration and should be protected by administrative and hosting security controls.
The Drive folder is not deliberately made public by this integration. We do not sell Google user data or use data obtained through Google APIs for targeted advertising, profiling or unrelated marketing. Google API data is not transferred to unrelated third parties except as necessary to deliver the authorised functionality, comply with legal obligations or protect security, in accordance with Google’s API policies. Human review of selected approved event media is part of the expressly authorised media-management workflow; general browsing of unrelated Google Drive files is not intended.
The Google account holder can revoke authorisation through Google Account settings, and an administrator can disconnect the integration in WordPress. Once disconnected, the app stops new sync operations, but previously uploaded Drive files remain until separately deleted. We remove unneeded local tokens and connection records in line with our retention and security practices. Google’s own privacy policy is at https://policies.google.com/privacy.
8. Bookings, enquiries and payments
When you enquire or book, we use your information to provide prices, communicate about services, issue documentation, coordinate the event, invoice and keep required financial records. We may share only relevant booking details with assigned DJs, technicians, suppliers or the hosting venue. Payment processors and banks may process transactions under their own notices. We do not need full card details to be supplied through event-planning notes.
9. Social media and marketing
We maintain Facebook and Instagram accounts and may use Metricool or another authorised social scheduling provider for preparing, scheduling and analysing posts. Social networks may independently process information when users interact with our pages, according to their privacy notices.
We may send direct marketing where lawfully permitted, including where required consent has been obtained or an applicable business marketing exception applies. Marketing messages will explain how to opt out. Anyone can object to direct marketing at any time by contacting us.
10. Website cookies, analytics and embedded content
Our website may use strictly necessary cookies for security, administration and basic functions. If analytics, advertising pixels, social embeds or other non-essential storage or tracking is used, we will provide appropriate information and seek consent where required before activating it. Embedded services may process data under their own policies.
11. Recipients and service providers
We share personal information only where needed with appropriately authorised staff; assigned DJs and technical contractors; relevant venues; website and hosting providers; Planning Beats; Google Drive; social platforms and scheduling providers; email, payment and accounting suppliers; advisers; and regulators or authorities where legally required. Some recipients may act as independent controllers for their own activities; others process information for us under appropriate contractual terms.
12. International transfers
Some of our cloud, planning or social providers may store or access information outside the UK. Where required, we use a valid international transfer mechanism and suitable safeguards, such as applicable UK adequacy regulations or the UK international data transfer arrangements. 13. How long we keep information
We keep information for no longer than necessary for the purpose collected, taking account of legal duties, ongoing bookings, disputes and operational needs. Financial records are normally retained for the applicable statutory accounting and tax period (often six years), with exceptions where required. Enquiries not resulting in bookings are periodically reviewed and deleted when no longer needed. Planning Beats event instructions, customer photographs, staff uploads, rejected media and Google Drive copies are reviewed on a defined retention schedule, and removed when no longer needed or authorised, subject to legal and operational exceptions.
14. Security
We use administrative access restrictions, appropriate account permissions, secure transport, software maintenance, access reviews and reasonable organisational controls to protect information. No internet-based system is completely risk free. If we identify a personal data breach, we will assess and report it where the law requires.
15. Your rights
Subject to applicable law, you may request access, correction, erasure, restriction or portability of your information, or object to relevant processing. You may withdraw consent where relied upon. We normally respond within one calendar month, subject to permitted extensions or exemptions.
You have the right to object at any time to the use of your personal information for direct marketing.

16. Children and sensitive information
Events may involve children and young people. We take extra care before retaining or publishing their identifiable images. Customers should not enter unnecessary sensitive personal information about guests into Planning Beats. Where special-category information is genuinely needed, we will identify a lawful basis and any additional UK GDPR condition before processing it.
17. Automated decisions and AI tools
We do not currently use solely automated decision-making that has legal or similarly significant effects on individuals in relation to event bookings. Software and AI-assisted tools may help draft or organise marketing content, but an authorised person reviews suitability and publicity permissions before publication. We do not use Google API user data to train general-purpose AI models.
